Guidelines for Use of Facilities

Making Bookings
All groups, including groups in our own church, must book the space they want to use. These will be recorded on the parish calendar and displayed on the notice board in the office.

The church may infrequently have to over-ride a confirmed booking because of a significant unplanned event such as a funeral.

Regular bookings for outside groups for a whole calendar year will not be confirmed before 30 November of the previous year.

Cancellations must be advised as soon as possible to allow re-allocation to other users.

Keys are occasionally issued, but normally the Custodian will open the room for groups using the premises. It is the responsibility of those booking the property to securely lock doors and windows when leaving the premises.

Parking is generally not available on the property during week days. Special needs should be discussed with the Office Administrator or Custodian.

Smoking is not permitted inside any of the buildings.

Furniture
If you shift furniture or other items please put them back where they were afterwards. Please don’t move furniture from room to room without prior arrangement.

Phone calls may be made only from the public phone provided in the hall foyer.

Damage
Please look after Wesley Church property. Any damage that does occur should be reported to the Office Administrator (office hours) or Custodian (after hours).

Accident or Incident Reporting
All accidents and incidents need to be reported to the Parish Office for follow-up.

An incident is anything out of the ordinary. It may be an accident, whether or not it results in injury. It may be a complaint about noise, or a false alarm for the Fire Service.

All such incidents need to be reported promptly on the form that is provided to all users of Wesley facilities.

Rubbish and Cleaning Up
Please take all rubbish away when you leave. We also expect you to thoroughly clean the areas you have used. Please ask about cleaning materials.

Security
Please turn off all electric switches and check that doors and all windows relating to your use of any part of the buildings - including toilets and public spaces - are secure and clean before you leave.

Payments
A 25% deposit must be paid before bookings can be confirmed. Full payment is required within seven days of a booking. Refunds cannot be made for cancellations received within 12 hours of the commencement of the booking. Payments can be made at the office or mailed to the Office Administrator (PO Box 6133, Marion Square, Wellington). Cheques be made payable to Wesley Church. Alternately, arrange with the Office Administrator to send or fax you an invoice.

Behaviour
Wesley Church does not wish to place undue restrictions on users but asks that behaviour and activities should not reflect unfavourably upon the Church.

Alcohol Consumption
The Methodist Church of New Zealand has firm views about the consumption of alcohol on church property. If you wish to provide alcohol for your guests or members please discuss this with the Office Administrator.
